Due diligence
As part of the Alcohol Wolesaler Registration Scheme (AWRS) Tan&Ns Ud. are required to conduct due diligence checks on both customers and suppliers involved in the supply chain for alcoholic drinks. Due diligence is important for our business to minimise exposure to commercial risk, reduce the risk of being exposes to fraudulent trans- action chains and reduce the risk of being exposed to significant financial losses. Making due diligence an obligation for all businesses involved in alcohol will help drive fraudsters from the marketplace, increase consumer confidence in the sector, boust legitimate businesses by restoring a level playing field and help maintain confidence and reputation. We carry out extensive due diligence checks following the guidelines from HMRC and checks as a structure to establish potential risk within supply chains. We ensure we “know our customer and supplier*. Any customers or suppliers identified as high risk will undergo further questioning before we decide if we will begin to trade. Due diligence will evoludied every months for high risk customers/suppliers, annually for all others, with regular reviews to highlight any changes in activity so the appropriate actions can be taken.
All customers and suppliers must provide the required list of documents and completed Customer activation forms for TanäNs Lid. to under. take risk assessment bafore any eccount is opened. TandiNs lid will only trode with a customer or supplier that has passed the assessment checks. Any customers or suppliers whe don’t pass our internal checks will be notified that we ore unable to open an account and unoble to trade. Any business with suspicious behaviour will be reported to HMRC in a timely manner.
Information submitted will bo reviewed on a coso-by-case basis and tho company director will conduct final sign off. All initial checks and further reviews will be documented in the customer or supplier file electronically.
Reminders for checks should be logged into Google calendar reminders as well as Xera Notification centre. Day-to-day checks will be carried out to identify any potential transactions that may lead to fraud or involve goods on which duty may have been evaded. These checks are made on both supplier purchose ordering and customer sales orders.
Sales Ordering
All sales are raised upon rechipt ef efficial purchase orders issued to orders@tanns.wine or your rep from customers. An invoice will then be generated via Xera and emailed across to the customer directly with the full details of the produet and price. For first orders we require peyment up front or paid on delivery. Credit terms may be offared on preceding cedars subject to relevant checks and discretion.
If ony delivery hesn’t been received within the required window, a query will be raised with the haulier immediately. Sale and Return will always be kondled via rep.
Availability
All goods are offered subject to availability.
Prices
All prices are Duty Paid and exclusive of VAT, which will be added at the prevailing rate. Prices are subject to market Ructuations, changes of rates of duty and exchange rate. We reserve the right to change the prices without pher nance
Orders & Delivery
Minimum order: to one celivery point only of / Sel or equivalent:
Edinburgh & Glasgow areas (M8 – M9 corridor): Free delivery for all orders exceeding 24 botles of £150.00 (excl VAT).
Orders valued ot less than this, whichever is the fewer, will be subject to corrier’s rates.
Outside Edinburgh & Glasgow creas (M8 – M9 corridor): 120 bchles for free delivery, Orders less than this will be charged at carrier’s rates.
Collection Allowance: There is a £0.60 per dozen-collection allow- ance of 75cl or equivalent for goods collected from our warehouses in Glosgow, Scotland.
Data Protection
Data Protection Act 1998: To comply with Data Protection Act 1998 we are required to inform you that we have recorded your name and address on our system. This information may also be used for debt tracing and to search, link, record and request information from credit reference agencies, banks and other financial organisations, and for the purpose of replying to trade reference enquiries. Please let us know if you object to us keeping this information.
Our Financiers
1. We may transfer information about you te our financiers, who:
– may use, analyse and assess information about you, including the no- ture of your transactions, and exchange such information with other members of their group of companies and others for credit or financial assessment,
market research,
seatistical anolysis,
insurance claim,
darwriting and training purposes and in making payments and servic-ing their ogreement with us;
• from time to time, may make searches of your record al cradit reference agencies where your record with such egencies may include sarches made and information given by other businesses; details of their searches will be kopt by such agencies but will not be seen by other organisations that may make searches;
may give information about you and your indebtedness to the fol- lowing:
- our or their insurers for underwriting and claims purposes;
- any gucranter or indemnifier of your er our obligations to enable them assess such obligations;
- their bankers or any advisers acting on their behalf;
- any business to whom your indebtedness or our arrangements with our financiers may be transferred – to facilitale such transfer;
may monitor and/or record any phone calls you may have with them, for training and/or security purposes;
– in the event that they transfer all or any of their rights and obligations under their agreement with us te a third porty, may transfer information accut you to enable the third party to enforce their rights or comply with the obligation.
2. We will provide you with details of our financiers on request, in cluding a contact telephone number if you want to have details of the credit reference agencies and other third parties referred to obove from whom they obtain and to whom they may give information abcut yeu. You also have a right to receive e copy of certain information they hold about you if you apply to them in writing. However a fee will be payable.
New Accounts
To provide credit account: Credit check will be carried out, two satisfactory trode references and one Banker’s reference are required. Until those references have been obtained geeds will only be despatched upon settlement of a Pro-forma invoice.
